Less chasing. A clearer handover.
AppliedAgents builds enquiry and admin workflows for Australian mortgage-broker teams. We connect the steps between your website, inbox and existing tools, so the person taking over has the context they need.
Where does the team keep doing the same work?
A new enquiry arrives while a broker is in a meeting. The client has explained their situation, but the next person has to piece it together from a form and an email. Later, a document turns up in the inbox while the checklist still says it is missing.
These are useful places to start. We look at where someone has to copy, chase or reconcile information, then check whether your current software can handle more of the process. The first project should have a clear finish and someone responsible for exceptions.
What can we help with?
| The handover | What we could build | Your team controls |
|---|---|---|
| Website enquiry to broker follow-up | Capture the enquiry, flag missing contact details and prepare a handover for the right person | Who follows up, what advice is given and the next agreed action |
| Requested documents to a review queue | Connect received files to the relevant case and highlight outstanding or uncertain items | What is required, whether a document is acceptable and when the file can progress |
| Client replies to the next office task | Route questions, pause requests and status changes without losing the original message | Client communications, priorities and decisions that need a broker |
Document collection and reply handling are workflows we can scope around your setup. Start with our mortgage-broker document collection guide to see the checks a proposed system should include.
A real enquiry-handover project: Emoney

For Emoney Home Loans, we rebuilt the website and added an AI assistant that gathers the visitor’s enquiry context and passes relevant details to a broker. The next conversation can begin with what the visitor has already shared.
The project story includes the website and a redacted handover example. It shows that delivered scope; document verification and lending decisions are separate work. We have not published measured lead or time-saving results for this project.
Work with the CRM you already use
Bring your CRM, client portal and document process to the first discussion. We check native features, supported connections, account permissions and any restrictions on where client information can go.
For example, Salestrekker already supports workflow triggers, checklists, task assignment and notifications. Configuring those features may be the right answer. A custom connection is worth exploring when a recurring gap remains between tools.
We confirm integration access before agreeing to a build. Mentioning a platform here does not mean every account or proposed connection is supported.
Start with one handover
- Walk through the current processShow where information arrives, who checks it and what gets copied or chased. Begin with fictional or de-identified examples.
- Agree the scopeChoose one start event and a clear finish. Confirm the tools, approvals, data handling, quote and support responsibilities.
- Test ordinary and awkward casesInclude duplicate enquiries, a file attached to the wrong case, a changed request and an unavailable connection.
- Review a controlled rolloutMeasure staff handling time, corrections and handover completeness. Give the team a clear way to pause the workflow and recover unfinished work.
Before we talk
Will the system give credit advice or approve applications?
The workflows described here support enquiry handling and administration. Advice, suitability, document acceptance and application decisions stay with the authorised people and systems. Collecting a file does not establish that it is correct or sufficient.
How do you handle client information?
We agree which systems may receive information, access permissions, retention and review responsibilities before building. Your business’s requirements and client commitments shape that design. Please describe the task in the initial enquiry; do not send identity documents or financial records through our website form.
What will it cost?
We quote after checking the workflow and integrations. A single enquiry handover is a different project from document collection across several systems. The implementation cost guide explains setup, software and support costs to compare.
What should we bring to the call?
Your current tools, the task that keeps coming back and a rough idea of how often it happens. A free strategy call is a useful place to discuss whether configuration, a custom connection or a simpler process is the right next step.
