What does AI implementation involve?
Perhaps your team rewrites the same client brief three times. Enquiries arrive with useful context that never reaches the person following up. Or someone spends Friday bringing records in different tools back into line.
We start by walking through that task with you. We look at what triggers it, who does the work, which tools they use and where it gets stuck. Then we scope a change your team can use and check. That may involve AI, an integration, custom software or a better use of something you already have.

Documents and conversations that lead to a clear next step

Ask to see what happens after the AI step
A useful draft still needs somewhere to go. If it changes the wrong record, loses the client’s wording or leaves a failed transfer unnoticed, the team has more work to untangle.
During scoping, we agree what the next person should receive and what the workflow must do when a step cannot finish. Take a client onboarding example: the engagement is accepted and the project folder is created, but the task board is unavailable. A useful result identifies the completed step, preserves the pending work and gives someone a clear recovery action. It should not say that setup is complete.

When is a custom build worth exploring?
A strong candidate happens often enough to matter, has a reasonably clear process and has someone who can explain the exceptions. You should be able to describe a useful improvement: fewer repeated entries, a shorter wait for the next step or less time spent finding missing information.
We check native features first. A saved template or an existing reminder may cover the task. An AI step becomes useful when the work involves interpreting varied material or preparing a draft; predictable routing and checks can often use ordinary rules.
If the workflow keeps changing, access is unavailable or nobody owns the review, those issues need attention before a reliable implementation can be scoped. The readiness worksheet helps you work through them.
Costs, timing and ongoing support
We quote after understanding the work. The number of systems, available connections, data quality, review requirements and testing all affect scope and timing. A single enquiry handover and a business-wide system need different plans.
Your proposal should separate the initial build, third-party software and usage, agreed support and later changes. Any ongoing fee needs a defined job: monitoring agreed failures, maintaining connections or providing a specified level of help. We start with what you use. Whether a connection is feasible depends on supported integrations, access, account plans and the records involved. We check those constraints before committing to the work.
How do we handle confidential information?
Describe the process first, using fictional or de-identified examples. Before implementation, we agree which information each tool needs, who may access it and how it will be retained. Your business requirements shape that decision.
What should we bring to a strategy call?
One recurring task, the tools involved and a rough idea of how often it happens. Tell us where the team gets stuck and what you want to change. You do not need to choose the technology first.
