When follow-up needs more than a reminder
A quote is sent from your job software. The customer replies by email. Someone updates a spreadsheet, but the reminder sequence still thinks the quote is unanswered. The difficult part is keeping those actions in sync.

What we scope with you
- The source of truth: where the current quote version, customer details and acceptance status live.
- The follow-up sequence: timing, appropriate recipients, approved wording and the point at which an office task replaces another message.
- Connections: which supported events and records can move between your job software, CRM and communication tools.
- Stop rules: what pauses activity after a reply, acceptance, decline, cancellation or request for no further contact.
- Team ownership: who reviews uncertain matches, failed deliveries and customer questions, and where they see the context.
- Handover: the agreed tests, operating notes, access ownership and support boundaries.
The proposal defines which of these are included. Integration availability depends on your software, subscription, permissions and the quality of the records. We confirm feasibility before promising a named connection.
An example: from sent quote to a clear next action
The table below is an illustrative design to discuss, not a claim about the behaviour of any particular product. Before a message sends, the process should check the latest available status again. If it cannot establish that sending is appropriate, it should hold the message for review.

AI can help prepare a draft from relevant context. It should not invent a price, promise availability or change an approved quote. Predictable timing and status checks usually belong in ordinary rules. Your team agrees which messages require approval.
What a useful pilot should prove
Start with controlled test records and contact details your team owns. Then move to a small reviewed pilot once the agreed checks pass.
- A reply stops the next chase. Test a reply arriving shortly before the scheduled message, including the delay between connected systems.
- The same event does not send twice. Repeated events or a retried connection should not produce duplicate follow-ups.
- A revised quote does not revive an old sequence. Confirm how versions, acceptance and cancellations are matched.
- Failures are recoverable. The office can identify a held item, inspect what happened and restart it without repeating completed actions.
- A person can stop the process. The pause control and ownership are clear without needing the developer to intervene.
Measure the time spent checking quotes, unresolved customer replies, duplicate messages and exceptions before and during the pilot. Quote acceptance can also be tracked, but changes in pricing, job mix and demand mean an increase is not automatically caused by automation.
How much does quote follow-up automation cost?

Bring the tools you use, approximate monthly quote volume, the current follow-up steps and one example with customer details removed. Those inputs help us establish the smallest useful scope and check whether the likely benefit justifies it.
Compare the one-off setup and testing, software or messaging charges, ongoing support, and the cost of future changes separately. Ask for the currency and GST treatment to be clear. Do we have to replace our job software or CRM?
We start with the tools you use. Better configuration may be enough; a supported connection may address the remaining gap. Replacing a core system would need a separate business case.
Can this follow up enquiries before a quote exists?

Can you guarantee more accepted quotes?
No. A dependable follow-up process can make the work easier to manage, but customer demand, pricing and your service still affect the outcome. We define what the system should do and test that behaviour.
