A production system would need your actual service rules, authorised tool access, contact details and tested handover paths. The example shows the intended behaviour, not a completed plumbing client project.

Start with the tools you already use

Bring your job management software, shared inbox, website forms and any spreadsheets to the discussion. We look at what each system already handles, which plan or permissions a connection needs and where information currently gets lost.

How we would approach your project

  1. Walk through a real handover. Use a de-identified example and show where someone has to copy, chase or decide. Agree what an improved process would change.
  2. Define the first workflow. Set the input, destination, responsible person and boundaries. Separate fixed rules from tasks where interpreting a message would help.
  3. Test the awkward cases. Include repeat enquiries, missing suburbs, changed requests, unavailable systems and messages that need a person straight away.
  4. Review a small rollout. Compare response handling and admin effort with the starting process. Decide whether to refine, expand or stop.

Keep pricing, confirmed bookings and technical advice with the authorised people or systems. An enquiry assistant should make uncertainty visible and route exceptions to a person who can act.
